The short version: COI Manager collects information you give us to provide the service. We don't sell your data. We use a small number of trusted third-party services to run the platform. You can request access to or deletion of your data at any time by emailing support@coimanager.com.

This Privacy Policy explains how COI Manager ("we," "us," or "our") collects, uses, and protects information when you use our software-as-a-service platform at coimanager.com (the "Service"). By using the Service, you agree to the collection and use of information as described here.

Uploaded Documents

The Service allows you and your vendors to upload certificates of insurance (COIs) and W-9 forms. These documents may contain sensitive business and tax information. We store them securely in your account and use them only to provide the tracking and compliance features of the Service.

Payment Information

We use Stripe to process subscription payments. When you subscribe, your payment details (card number, billing address) are entered directly into Stripe's interface and are never transmitted to or stored on our servers. We receive only a Stripe customer ID and subscription status. Stripe's privacy policy is available at stripe.com/privacy.

Business Transfers

If COI Manager is acquired, merged, or sold, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on the Service before your data is transferred and becomes subject to a different privacy policy.

We retain your account information and uploaded documents for as long as your account is active. If you cancel your subscription, we retain your data for 30 days to allow for account recovery, after which it is permanently deleted. You may request earlier deletion at any time by contacting us at support@coimanager.com.

Log and usage data is retained for up to 90 days and then deleted.

7. Vendor Data and Your Responsibilities

When you use COI Manager to collect and store information about your vendors, you are acting as the data controller for that vendor data. You are responsible for having a lawful basis to collect and store your vendors' contact information and for notifying them that their data is being processed. COI Manager acts as a data processor on your behalf for this data.

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child without parental consent, we will delete it promptly.

9. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of the sale of your personal information. COI Manager is operated from the United States. If you are accessing the Service from outside the US, your information will be transferred to and processed in the US. By using the Service, you consent to this transfer. We make no representation that the Service is appropriate or available for use in all locations.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a prominent notice within the Service at least 14 days before they take effect. The "Last updated" date at the top of this page reflects the most recent revision. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
